Position OverviewWe are seeking a highly experienced Chartered Accountant (CA) / Senior Accountant based in Kerala to take ownership of the accounting and financial reporting for our U.S.-based company .
The ideal candidate must have expert-level knowledge of QuickBooks Online , strong experience with U.S. accounting and taxation , and the ability to provide management with accurate and meaningful financial information every month.
This is not simply a bookkeeping or data-entry position. We need someone who can oversee our financial records, monitor company performance, manage budgets and cash flow, coordinate tax compliance, and advise management based on the numbers.
Key ResponsibilitiesQuickBooks & Accounting- Maintain the company's complete books using QuickBooks Online .
- Ensure all income, expenses, assets, liabilities, and equity transactions are properly categorized.
- Maintain and improve the Chart of Accounts.
- Record and review invoices, bills, payments, deposits, journal entries, and other financial transactions.
- Perform bank and credit card reconciliations.
- Manage Accounts Receivable (A/R) and Accounts Payable (A/P).
- Monitor outstanding customer balances and vendor obligations.
- Perform month-end and year-end closing.
- Review books regularly for errors, duplicate transactions, incorrect classifications, and discrepancies.
- Maintain accurate supporting documentation and audit-ready financial records.
The candidate must have strong practical knowledge of U.S. business accounting and taxation and be able to work with our U.S. CPA, tax professionals, payroll providers, and management when required.
Responsibilities may include:
- Federal and state business tax compliance.
- Understanding of LLC, partnership, S-Corporation, and C-Corporation accounting and tax structures.
- Preparation and organization of financial records for federal and state income tax returns.
- Estimated tax planning and payment tracking.
- Sales tax accounting and reconciliation where applicable.
- Payroll tax accounting and reconciliation.
- Contractor payments and Form 1099 reporting.
- Employee payroll and W-2 reconciliation where applicable.
- Maintaining records required for IRS and state compliance.
- Tracking tax deadlines and maintaining a compliance calendar.
- Preparing schedules and supporting documents for the company's U.S. CPA.
- Assisting with audits, notices, tax inquiries, and financial documentation when required.
The candidate should understand the difference between book accounting and tax accounting and ensure our records are maintained correctly throughout the year rather than waiting until tax season.
Monthly Financial ReportingManagement must receive a comprehensive Monthly Financial Performance Report .
The monthly reporting package should include:
- Profit & Loss Statement
- Balance Sheet
- Cash Flow Statement / Cash Position
- Revenue analysis
- Gross Profit and Gross Margin
- Operating Profit
- Net Profit
- Monthly operating expenses
- Accounts Receivable aging
- Accounts Payable aging
- Bank and cash balances
- Debt and major financial obligations
- Budget vs. Actual
- Monthly variance analysis
- Current Month vs. Previous Month
- Current Month vs. Same Period Last Year, when applicable
- Year-to-Date performance
- Financial forecasts
- Major financial risks or concerns
- Management recommendations
We do not want someone who simply downloads a P&L from QuickBooks and emails it.
The accountant must review, analyze, and explain the financial results , including why revenue, expenses, margins, or profits changed and what management should pay attention to.
Budgeting & Financial Planning- Develop annual company budgets with management.
- Create monthly and departmental budget allocations.
- Monitor actual spending against approved budgets.
- Produce monthly Budget vs. Actual reports.
- Identify overspending and unusual expenses.
- Forecast future revenue and expenses.
- Prepare rolling cash-flow forecasts.
- Estimate upcoming cash requirements.
- Recommend budget adjustments when necessary.
- Help management establish spending limits and financial controls.
- Support strategic planning with financial projections and scenario analysis.
The accountant will help management understand the true financial performance of the business.
This includes:
- Tracking monthly and year-to-date profitability.
- Monitoring gross and net profit margins.
- Identifying the company's largest expense categories.
- Analyzing changes in operating expenses.
- Identifying unnecessary or excessive spending.
- Analyzing profitability by department, project, customer, product, or business segment when required.
- Monitoring cash burn and working capital.
- Identifying potential cash-flow shortages before they become problems.
- Recommending opportunities to reduce expenses and improve profitability.
The successful candidate will help establish strong internal financial controls, including:
- Expense approval procedures.
- Vendor payment controls.
- Customer collection procedures.
- Credit card and bank reconciliation procedures.
- Proper documentation for company expenditures.
- Review of unusual or high-value transactions.
- Prevention and identification of duplicate or unauthorized payments.
- Organized financial recordkeeping.
- Protection of confidential company financial information.
- Chartered Accountant (CA), CPA-equivalent background, or highly qualified senior accounting professional.
- Strong experience handling U.S. company accounting .
- Expert-level QuickBooks Online knowledge is mandatory.
- Strong understanding of U.S. GAAP/accounting principles.
- Practical understanding of U.S. federal and state business taxation.
- Experience with P&L, Balance Sheet, Cash Flow, budgeting, forecasting, and management reporting.
- Advanced Microsoft Excel / Google Sheets skills.
- Strong analytical and problem-solving abilities.
- Excellent attention to detail.
- Strong English communication skills.
- Ability to communicate financial information clearly to business owners and management.
- Ability to work independently and take complete ownership of accounting deadlines.
Preference will be given to candidates with experience working remotely from India for U.S.-based businesses and communicating directly with U.S. management, CPAs, payroll providers, banks, and other financial professionals.
Experience with QuickBooks Online, U.S. payroll accounting, 1099 reporting, sales tax, budgeting, cash-flow forecasting, and multi-state operations will be highly valued.
