A Sr. Administrative Assistant job in Paterson, WA is available at Ste. Michelle Wine Estates (SMWE). This role provides comprehensive administrative and operational support to the Chief Operating Officer, including calendar and travel management, meeting coordination, and project tracking. The Sr. Admin Assistant serves as a key liaison across departments, ensuring effective communication, organization, and execution of day-to-day business activities and strategic initiatives. Ste. Sr. Administrative Assistant job responsibilities include:
- Coordinate complex schedules, meetings, and communications for the Chief Operating Officer and Operations leadership team, ensuring effective prioritization of competing business needs.
- Manage all travel arrangements and associated expense reporting for the COO.
- Serve as a key point of coordination between Operations leadership and cross-functional partners, including Winemaking, Supply Chain, Finance, HR, and Commercial teams.
- Capture, distribute, and track meeting notes, action items, and follow-up activities to ensure timely completion of commitments.
- Analyze operational and business data and prepare concise summaries for leaders.
- Screen and direct phone calls, emails, and requests, exercising sound judgment and professionalism.
- Coordinate the review, routing, and processing of contracts, invoices, and other business documents.
- Monitor and track departmental projects, milestones, deliverables, and key deadlines, following up with stakeholders as needed.
- Assist with the planning and coordination of department meetings, leadership events, site visits, and special projects.
- Facilitate communication and information sharing across departments, helping ensure alignment and timely execution of priorities.
- Identify opportunities to improve administrative processes and enhance team efficiency.
- Provide administrative and project coordination support for special initiatives and other duties as assigned.
- Minimum of 5 years administrative experience.
- High School Diploma or equivalent required. Bachelor’s Degree in finance, accounting or other technical field preferred.
- Advanced proficiency with Microsoft Office; specifically, experience creating and working with pivot tables in Excel.
- Experience with Power BI preferred.
- Ability and interest in analyzing data and extracting succinct insights that support leadership decision-making.
