Patient Coordinator / Front Desk Executive

Location: Kharadi, Pune

Job Type: Full-time

Experience: 1–3 years preferred

Salary: ₹20,000 – ₹30,000/month + performance incentives

Working Hours: 10:00 AM – 8:00 PM

Weekly Off: 1 day/week

SculptDerma is a premium Plastic Surgery & Aesthetic Clinic in Pune offering Plastic Surgery, Aesthetic Medicine, Dermatology, Hair Restoration, Cosmetic Gynaecology and Wellness treatments.

We are looking for a  confident, responsible and patient-focused Patient Coordinator who can become the face of our clinic and take ownership of the complete patient coordination process.

You will be responsible for ensuring that every patient enquiry is handled professionally—from the  first phone call/WhatsApp message to appointment booking, follow-up and conversion.

Patient Handling

• Welcome and coordinate patients professionally
• Handle incoming calls and WhatsApp enquiries
• Understand patient requirements and coordinate consultations
• Maintain patient records and appointment schedules
• Ensure a smooth patient experience

Lead Management

• Respond promptly to Google, Meta, Instagram and WhatsApp leads
• Follow up with prospective patients
• Maintain daily lead and follow-up records
• Convert enquiries into consultations
• Follow up with patients who have not booked/attended appointments

Appointment Management

• Schedule and confirm appointments
• Coordinate doctor availability
• Confirm appointments one day prior
• Handle cancellations and rescheduling
• Maintain the next-day appointment schedule

Clinic Coordination

• Coordinate with doctors and therapists
• Handle payments and basic billing
• Maintain daily reports
• Ensure reception/front desk is organized
• Complete proper handover at the end of the day

We want someone who is:

✔ Good at communication and follow-ups

✔ Comfortable speaking  English + Hindi + Marathi

✔ Presentable and professional

✔ Comfortable using WhatsApp, Excel/Google Sheets and basic computer applications

✔ Able to handle multiple patients and enquiries simultaneously

✔ Sales-oriented but not pushy

✔ Proactive and capable of working independently

✔ Someone who takes ownership rather than waiting to be told what to do

This is  not a passive receptionist role .

We are looking for someone who understands that every patient enquiry is valuable and takes responsibility for converting enquiries into consultations and ensuring that patients receive excellent service.

In addition to fixed salary,  performance-based incentives will be provided for achieving defined targets related to:

• Lead conversion
• Consultation bookings
• Treatment/surgery conversions
• Patient follow-ups
• Overall clinic performance

Good performance = higher earning potential.
