Office Coordinator

Job Description

The full-time Office Coordinator supports CSPDC staff and programs organization-wide, with a concentration on administrative support, office services procurement and purchasing, meeting scheduling and organizing, communications, and record-keeping. This position supports the areas of human resources, finance and other CSPDC programs in areas such as economic development, environmental services, housing and community health, and transit/transportation. 

Principal Duties and Responsibilities

  • Provides office management duties, including supply management and ordering, external IT coordination, building maintenance services coordination and oversight for the primary office with 15 staff and the transit facility building
  • Manages office-related service contracts (cleaning, mowing/grounds, snow removal), serving as the primary point of contact with vendors
  • As skills develop, takes on expanded responsibility for building maintenance procurement - managing recurring vendor contracts for services such as landscaping and preventative maintenance (with annual renewals and competitive re-bidding roughly every three years), as well as sourcing and hiring vendors for repairs and short-term projects such as gutter cleaning.
  • Assists with routine human resources and finance administrative activities
  • Helps coordinate and organize meetings, trainings, and events, to include creating meeting minutes, and ability to attend occasional evening meetings
  • Identifies improvement opportunities for efficiency and effectiveness of routine office activities and documents procedures
  • Supports office-wide and program-specific communications, including websites and reports
  • Supports planners with grant/project administration
  • Helps prepare and submit required data and reports
  • Maintains organization-wide and group-specific contact lists
  • Prepares, proofreads and/or edits documents, correspondence, and presentations
  • Performs other duties as assigned

Qualifications

  • Any combination of education and experience equivalent to a Bachelor’s Degree and 1-3 years of relevant experience 
  • Excellent organization and attention to detail
  • Adherence to confidentiality of personnel, financial, and personal information
  • Experience and ability to prioritize and effectively manage multiple projects simultaneously
  • Ability to maintain effective relationships with co-workers and partner organizations
  • Ability to work as a member of a team but also independently
  • Ability to be flexible when needed, and develop creative solutions to problems
  • Proven strong analytical, writing, and communication skills
  • Computer proficiency and experience with Microsoft Office products
  • Experience with WordPress, Paylocity or similar people management software, and AI platforms

Work is on-site in the Staunton office and occasionally at transit facility in Fishersville.
